Overview

In this role, you will provide first line helpdesk support to and be part of our Labour Hire Desk team, to support the general administration within Tatu City Responsibilities Accurately capture and input data for all new labour requests. Ensure smooth day-to-day office administration, including filing, documentation, and call management. Monitor and coordinate the transfer and allocation of labour across the project to optimize efficiency. Collaborate with all project teams to ensure the right quantity and quality of labour is deployed. Coordinate and support labour forecasting requirements across projects within Tatu City. Ensure job opportunities at the labour desk are effectively communicated to the neighboring community. Serve as a professional and approachable point of contact for all labour-related queries and concerns. Manage incoming and outgoing calls in a timely and professional manner. Perform administrative tasks related to attendance tracking and contractor payroll processing. Liaise with contract staff and subcontractors to ensure timely submission of required information. Respond to queries promptly and escalate issues where necessary. Work closely with Contract and Facilities Managers to improve service delivery and reporting processes. Support payroll preparation by verifying timesheets and ensuring accurate data entry into the payroll system. Ensure casual workers’ payment schedules are prepared and submitted on time. Track and manage leave days for contracted staff effectively. Monitor contract timelines and notify management of upcoming renewals or expiries. Ensure compliance with company policies, labour laws, and health and safety requirements. Prepare and submit labour reports, including headcount, absenteeism, and productivity updates. Ensure all labour documentation is complete and up to date, including contracts, identification, and statutory details (NSSF, SHA, KRA PIN). Requirements Bachelor’s degree in HR or Business Administration At least three (3) years’ experience in a similar set up or experience with operative labour teams within a civil engineering or construction business. Demonstrates excellent Customer Service Proven ability to organize labour resourcing requirements. Proficiency in Microsoft Office and payroll/HR skills. Excellent organization and record keeping skills. Ability to work under pressure and manage multiple tasks efficiently.
